Job Title: Executive Assistant/Chief of Staff
Location: Saint Charles County, MO (with occasional travel)

Job Description:
We are seeking a charismatic and highly motivated Executive Assistant/Chief of Staff with exceptional analytical and organizational skills to support our CEO in managing day-to-day operations and strategic initiatives. This position requires a detail-oriented individual who can effectively utilize analysis tools and drive process improvements. The ideal candidate will possess excellent communication, problem-solving, and multitasking abilities.
This is currently a virtual position and will immediately transition into a hybrid position once we change office spaces in St. Charles County, Mo.
8-2pm M-F, may extend up to or beyond 40 hours per week.
Responsibilities:
Utilize advanced analysis tools to evaluate workflows, identify bottlenecks, and implement process enhancements for increased efficiency and productivity.
Conduct comprehensive research on various topics, synthesizing findings into actionable insights to support the CEO in decision-making.
Proactively manage and prioritize the CEO's schedule, including appointments, meetings, and travel arrangements, ensuring optimal time management.
Act as a liaison between the CEO and internal/external stakeholders, maintaining clear and concise communication.
Collaborate with bookkeepers, CPAs, lawyers, and other professionals to ensure seamless operations and compliance with industry regulations.
Leverage analytical skills to monitor website and social media traffic, assess data trends, and devise strategies to enhance our online presence.
Craft professional and persuasive emails to clients and contribute to marketing efforts aimed at attracting potential clients.
Diligently document meeting proceedings, capturing crucial details and organizing them for easy reference and follow-up.
Provide support in project management tasks, utilizing strong organizational and process management skills.
Demonstrate adaptability and responsiveness in handling urgent requests and adjusting to shifting priorities.
Uphold strict confidentiality and exercise discretion in handling sensitive information.
Requirements:
Bachelor's degree or equivalent advanced education preferred, with a focus on analysis tools, organizational management, or related fields.
Proficiency in utilizing analysis tools and software to assess and optimize workflows, such as Excel, data visualization platforms, and project management tools.
Strong organizational and process management skills, with the ability to streamline operations and enhance overall efficiency.
Excellent written and verbal communication skills to effectively liaise with stakeholders and convey information.
Solid research abilities and the capacity to present findings in a concise and actionable manner.
Proficient in technology tools commonly used in business environments, including CRM systems, Monday.com, and Google Drive.
Willingness to travel with the CEO on a regular basis (approximately one week per month).
Ability to work both remotely and in an office setting within the Saint Louis region.
Preferred Qualifications:
Certification in Project Management (PMP) or other relevant certifications.
Experience in utilizing analysis tools for website traffic analysis, social media marketing, and sales optimization.
Familiarity with emergency services or disaster management, and a passion for making a positive impact.

Salary and Benefits:
The salary range for this position will be determined based on qualifications and experience. As a contractor, the compensation will be negotiated accordingly. In the future, we aim to transition to a W-2 employment model with comprehensive benefits.
$20.00 - $35.00 an hourly, 1099 contractor with W-2 benefits possible with company growth.

Minimum Qualifications:
Have an emergency services (EM preferable) background
Ability to create original videos and use Adobe products such as Premiere Pro and After Effects

Schedule Posts
Join Monthly Team Meetings (likely during a lunch hour)
Coordinate other audio/video personnel on the team
Articulate the vision of each brand and apply specific branding standards
Create monthly news letters
Follow, like, share, and interact on social media posts (along with the team)
Hours:
12-15 weekly expected
The first month you will be busy, we then expect you to automate and have enough content scheduled out so that you will be less busy.
Pay:
$15.00
